Mail & Workspace Infrastructure · SMBs & Teams

Business email migration for small teams

The cost of running a company on free consumer mailboxes shows up late: no admin control, no way to recover a departing employee's mail, and a domain whose authentication is weak enough that invoices land in spam.

What we walk into

The state of play in smbs & teams

  • Staff using personal addresses for company mail, with no handover when they leave
  • SPF and DKIM missing or wrong, so legitimate mail is filtered
  • Nobody able to create, suspend, or forward a mailbox without asking one person
  • Marketing blasts sent from the same domain and reputation as invoices

Outcomes

What changes

  • Business mail
  • Social publishing workspace
  • CRM pipelines
  • Digital identity OS

Broader sector context lives on SMBs & Teams software, and the full engagement is described on Mail & Workspace Infrastructure.

Scope

What the build covers

Authentication done properly

SPF, DKIM, and DMARC published and verified for the sending domain, with a policy that starts permissive and tightens as reports come back clean.

Mailbox and org provisioning

Domain mailboxes, aliases, and groups created from an admin console, so onboarding and offboarding stop being a favour.

Cutover with no lost mail

MX change sequenced with dual delivery and a mailbox import, so messages in flight during the switch still arrive.

Separated sending streams

Transactional mail and campaigns split across paths and reputations, so a marketing send cannot take your invoices down with it.

Rollout

How it sequences

  1. 01

    Audit the domain

Current DNS, sending sources, reputation, and every place the domain is used to send — including the ones nobody remembered.

  2. 02

    Provision and test

Mailboxes created and authentication published while old mail still flows, with test sends to the major providers.

  3. 03

    Cut over and monitor

MX switch, import, and a watch on bounces and complaint rates through the first weeks, when problems are cheapest to fix.

FAQ

Questions buyers ask first

How much downtime does the migration cause?

None, if it is sequenced properly. Mailboxes are provisioned and tested before DNS changes, and dual delivery covers the propagation window so mail in flight is not lost.

Can we keep our existing addresses and history?

Yes. Addresses stay the same because the domain does not change, and existing mail is imported into the new mailboxes. Aliases keep old naming patterns working.

Is this Workspace, MailTry, or both?

AzAd Workspace covers hosted mailboxes and admin. MailTry handles campaign sending at volume. Most teams migrating off consumer mail need the first, and add the second when marketing volume justifies a separate reputation.
