Job scheduling software for trade businesses

Trade businesses scale until the schedule stops fitting in one person's head. After that the constraint is not demand — it is knowing which crew is where, what they quoted, and whether it has been invoiced.

What we walk into

The state of play in field service

  • Jobs assigned over WhatsApp, with the details in whichever chat they were sent
  • Quotes written in a document and never linked to the job that followed
  • Customers calling the office to ask where the crew is
  • Work completed on site but invoiced a fortnight later, if at all

Outcomes

What changes

  • Job scheduling
  • Customer portal
  • Staff mobile app

Broader sector context lives on Field Service software, and the full engagement is described on Industry OS & Portals.

Scope

What the build covers

Lead to invoice in one thread

Enquiry, quote, scheduled job, completion notes, and invoice attached to the same record, so nothing is reconstructed from memory.

Scheduling and dispatch

Crew calendars, job duration, and travel accounted for, with reassignment that actually reaches the technician.

Technician mobile app

Today's jobs, customer details, site notes, and completion capture on an Android app built for one-handed use in a van.

Customer portal

Quote status, appointment window, and invoice history visible to the customer, which removes most of the inbound calls.

Rollout

How it sequences

  1. 01

    Office first

Leads, quotes, and the schedule move into the platform while crews keep working the way they do today.

  2. 02

    Crews on mobile

Technicians get the app once the schedule in the system is the real schedule — not a copy of a whiteboard.

  3. 03

    Invoicing and portal

Completion triggers invoicing, and the customer portal opens once job statuses are reliable enough to show outside.

FAQ

Questions buyers ask first

We have five crews. Is this too much system?

Five crews is roughly where a shared calendar starts failing. The platform is modular, so a small business can run leads, jobs, and invoicing and leave inventory, purchasing, and HR switched off until they matter.

Will technicians actually use the app?

Only if it is faster than messaging the office. Job list, directions, and completion capture are the whole first release — we deliberately do not ship a form-filling exercise.

Does it handle accounting?

It raises and tracks invoices. Ledgers, tax filing, and payroll stay with your accounting software, and we scope the export or integration that keeps both sides in step.
